How To Write A Perfect Sales Record Book For LPG Gas Plants In Nigeria


As discussed in previous articles, having a sales record book is very important in a business. It will help you know how well your business is performing in terms of marketing gains. It also helps in proper calculation of profits, losses and expenses. A sales record book have to contain important details. As a sales staff or gas plant operator, for everyday you resume for your daily work, it is very important that you take the "opening meter" (this will be explained in later articles) from your gas pump dashboard, and also the "closing meter" at the end of each day.

Taking the "opening meter" and "closing meter" is very recommended, as this is the only way you can properly calculate the profit or loss for each day. If the gas pump dispenser you are operating comes with two different dashboard, operated with different nozzle guns, you should make sure to take the "opening and closing meter" for each dashboard.

WRITING SALES RECORD FOR LPG PLANT BUSINESS

OPENING METER: This is a data found on gas pump dashboards. It is also the previous day's CLOSING meter, and the next day OPENING meter. What this means is, for each day resuming for work duty as a sales staff, it is important you take the meter reading on the dashboard on the gas pump. 

CLOSING METER: This is figure on the gas pump dashboards for the end of each work duties. It is the opening meter for the next duty or next day's. Now this is tricky. For business that have schedules or shifts. How can this be properly be done? Easy!!! Depending on when you resume for work duties or maybe closing for the day work, which ever way, the person's taking the shift from you or vise-versa, write down the meter reading at that given time (now his/her opening meter), considering the fact he/she already taken the opening meter reading for that time. Now, this data becomes your closing meter for that day.

NOTE: Every time you plan to refill your LPG depot tank, it is advisable you check your tank gauge level before and after refilling is done. Always remember to take down records of the gauge level percentage of the new deposit in a new note book. This record book should indicate a new order/invoice. As in, a start of a new sales. After this, you should take the opening and closing meter reading immediately after refilling of the LPG depot tank. This is very important if you are running a LPG gas skid plant, as it helps you to know your total kg sold, profit and lost after an empty tank.
